Playbook: Build a Fast, Accurate, Auditable Employee Expense Function
We’re collecting practical, vendor-agnostic recipes for running a low-friction, low-error employee expense program across cards, banks and accounting systems. Please share concrete, first-hand items you’ve implemented (not theory). Useful contributions include: policy language and approval matrices; receipt-capture setups and OCR tuning (fields, regexes, threshold settings); approval routing rules and exception flows; reconciliation checklists and automation recipes; multi-entity / multi-currency handling and FX workflows; audit controls (segregation, sampling, match‑rules) and required evidence; dashboard metrics and sample queries. When you post, include context: org size, monthly claim volume, tech stack (card provider, bank, ERP/GL, expense tool), currencies, and regulatory regime (VAT/SOX/etc.). Wherever possible show before/after results (e.g., cost per claim, time-to-reconcile, missing-receipt rate, approval SLA, month-end close time, audit findings). Attach or paste one concrete artifact first — a policy clause, an OCR regex or setting, an approval-routing rule, a reconciliation SQL/checklist, webhook/code snippet, or a screenshot of a KPI dashboard — and explain the impact. If something failed or had edge cases, say why. Tag vendor-specific items (Concur, Ramp, Brex, Expensify, Netsuite, QuickBooks, Xero, SAP, etc.) but highlight vendor-agnostic lessons. Goal: build a shareable playbook of templates, config snippets, and KPIs others can adapt. Start by posting one concrete item and your org context.
